Booth Empire delivered a dual print photo booth activation for PwC Management Services LP at the 2025 BE Conference on Wednesday, November 26, 2025. Held at the Niagara Falls Convention Centre, 6815 Stanley Avenue in Niagara Falls, both booths ran simultaneously in the foyer outside Exhibit Hall A and produced 257 photos across a four-and-a-half-hour evening activation. The engagement was coordinated through Connie Consiglio, Manager, National Meetings & Events at PwC.
The 2025 BE Conference Brief
The BE Conference is a PwC national gathering, and the brief was to deliver a branded takeaway experience that conference attendees would actually use without pulling them out of the main programming. The Niagara Falls Convention Centre was the host venue, with the main conference sessions running inside Exhibit Hall A and the photo activation positioned in the foyer directly outside that hall.
Connie Consiglio coordinated on PwCâs side as Manager, National Meetings & Events. That point of contact matters operationally: a national-meetings owner on the client side means the activation is being scoped by someone who understands the venue flow, the attendee schedule, and the deliverables expected from each vendor. That shapes how clean the run-up to the event is.
Two Booths, Not One
The original signed contract listed one print photo booth, but the final operational instructions confirmed two booths were deployed. That kind of scope adjustment is common for large conferences, and itâs worth flagging because it explains how the activation hit the throughput numbers it did.
When the expected guest count or the dwell-time window makes a single booth a bottleneck, doubling capacity keeps the line moving and the activation feeling premium instead of crowded. A single booth serving a conference of several hundred people across an evening window produces queues, and queues at a corporate event undercut the experience the brand is paying for. The two-booth decision was the operational call that let the activation process 257 photos without becoming the bottleneck of the evening.
Both booths were positioned in the foyer outside Exhibit Hall A, with the main conference programming taking place inside the hall. Dual-station deployment with matched creative output means attendees got the same branded print regardless of which line they joined.
Foyer Placement Outside Exhibit Hall A
The foyer placement outside the main hall is critical for conference activations. It captures attendees during natural transition moments - arriving at the venue, breaking between sessions, leaving for the evening - without competing with the main programming for attention.
A booth placed inside the conference hall competes with the sessions and pulls attendees out of the content theyâre there for. A booth placed in a side room attendees have to find gets underused. The foyer is the middle path: it lives in the flow of the event, captures attendees when theyâre naturally moving through the space, and never asks anyone to choose between the booth and the conference itself.
The âGo Beyondâ Print Design
The final print was a vertical 2x6 strip including three guest photos, the PwC logo, â2025 BE Conferenceâ event branding, and the eventâs âGo Beyondâ tagline. PwC requested Arial typography on the layout, which is a specific enough ask that itâs worth noting: Arial is a clean workhorse sans-serif that reads predictably at small print sizes and matches PwCâs broader corporate typography conventions.
The mockup approval process was straightforward. PwC reviewed three design options and approved the completed third mockup with âLooks great!â - a short response that signals the design process was working from a clear brief rather than iterating toward something nobody had specified. That kind of clean approval reduces lead time and lets production lock in earlier.
Each station delivered 2x6 photo strips in full colour, physical props for guests, flat white backdrops for a clean branded finish, on-site attendants, and the branded take-home prints carrying the âGo Beyondâ messaging. The flat white backdrop choice is deliberate: it produces a consistent, repeatable result across both stations and across all 257 prints, with no color-cast variance from a colored backdrop.
Space and Venue Requirements
The space requirements were specified clearly because conference venues need advance notice for any footprint added to a programmed event. Each booth required:
- Two six-foot tables per station
- One standard wall outlet within 25 feet of each booth
- Approximate 8x8-foot activation footprint per setup
These are standard conference-venue requirements, but theyâre the kind of operational detail that determines whether the activation actually lands on the night. A booth without a power source within reach, or without the table space needed for props and print production, canât deliver the experience no matter how good the creative is. Specifying these requirements up front is how the deployment runs cleanly on event day.
Both booths ran from 6:30 p.m. to 11:00 p.m., with setup starting at 5:00 p.m. That gave the team a 90-minute setup window before the activation opened, which is the lead time needed for two-station deployment, backdrop calibration, prop layout, and end-to-end testing before the first attendees arrive.
